This privacy policy sets out how Multibrand uses and protects any information that you give Multibrand, in any format including when you are on our website. We are committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement. Multibrand may change this policy from time to time. On our websites, this is done by updating the Privacy Policy page. You should check this page from time to time to ensure that you are happy with any changes. This policy is effective from 01.01.2018

WHAT WE COLLECT

As a Data Controller registered with the Information Commissioner’s Office (reference ZA160835) and in order to provide the service you have requested from us at your home or place of work, we
need to collect and store some information about you. Without this information we are unable to come to your address or provide any warranty on the work we undertake for you. Therefore,
when filling out our website contact forms or entering information into our database, on occasion we may require to collect the following information:

Name and address
Contact information including email address, telephone and mobile number
Demographic information such as postcode, preferences and interests
Information relating to your appliance
Information relating to breakdowns, callouts, parts, work carried out and

WHAT WE DO WITH THE INFORMATION WE GATHER

We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

Internal record keeping.
We do not share your information with any 3rd parties
We may use the information to improve our own products and services.
We may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided.
From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, SMS or mail. We may use the information to customise the website or products according to your interests.
We do not use automated decision-making including profiling, referred to under Article 22(1) and (4)

You can Opt In or Opt Out of the above at any time by asking us to amend your preferences. We retain this information for as long as you remain a customer of Multibrand Services Limited (for
example, while you are living in a property owned by an organisation to whom Multibrand is contracted to provide service). This allows us to give you or our client historical information when requested.

When a contract comes to an end or you no longer want to be our customer, we remove and destroy all data relating to you. If you are an individual, private customer, you can request this at any time and your change in preference will be actioned within 30 days.

LAWFUL BASIS FOR PROCESSING PERSONAL DATA

Where we hold personal data about you, this will be based on Article 6 of UK GDPR. We will hold your data under clause (b) Contractual Data. This covers both formal contracts with our Business-2-Business clients and work carried out for Private Customers on the basis that a contract is entered into at the point that service is requested, whether verbally or by other means.
Data will be held for the reasons of making appointments, checking appliance or repair history, administration of repairs/installations, invoicing and for reasons of providing a warranty on the work we carry out for you.
We will hold this data until you choose not to be a customer of Multibrand Services Limited and notify us in writing of this change of preference. Should you ask us to remove your details before the end of any warranty period, the remaining warranty will become invalid as we will have no details to hold the warranty against.
If your details have been passed to us from a third party for example a Housing Association, there may be additional constraints on what we hold and any retention periods as dictated by them.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures
to safeguard and secure the information we collect online. These procedures may be subject to change based on adhering to and reflecting current “Best Practise”.
